FAQs

Classes and 1 to 1

  • Simply go to the Classes or Coaching page on this website and select your desired option. There is an option to either subscribe (classes only) or simply purchase a single session. To purchase a single pass click on the ‘Single Pass’ button (for classes) or the Single strength and conditioning session. .

This link will take you to the available appointments. Simply choose the date to confirm your appointment.

  • There are two ways to book or schedule multiple group strength and conditioning or one to one appointments.

Through our website or via the app.

    Via The app - The easiest way to either book or schedule multiple appointments is to follow the process below;

Download the ‘Acuity Scheduling Client’ app from the app store. Then watch this video to then learn how to create and manage your appointments.

    https://youtube.com/shorts/BA1I-JYMC8Y?feature=share

As a side note only appointments scheduled or booked via the app will appear in the app.

Through the Website - Simply go to our classes or coaching page and select the subscription or package you want, once you have paid and completed this process you will receive an order receipt email.

The email will contain a certificate code and link to ‘schedule’. (Note every time your subscription renews *for classes you will automatically receive an email with a new code to use.)

Click on the ‘schedule’ link then select an available slot for your appointment (if no slots are available that means that a class is fully booked) or no session is available. Remember to then select and add another time OR select and make recurring.

Then fill your details in, read the Ts and Cs then click the complete appointment button.

  • Simply go to the Classes page on this website and select your desired class. There is an option to either subscribe or simply purchase a single pass. To subscribe select the ‘Subscribe’ button.

Or if you are already set up on the app, click the link then select the desired subscription package and go from there.

This link will take you to a payment page where you will have to enter your details to purchase the subscription. Once you have completed this process see the ‘How Do I book / schedule multiple 1 to 1 or classes’ FAQ.

  • So you have two options here. If you have been enjoying the classes and would like to continue then you need not do anything. Your subscription will automatically renew (exactly 6 weeks after you made your original purchase). On this date you will then receive an email confirmation containing a new code and link to schedule your next 6 sessions. At this point make sure that you schedule in your sessions via the email link or the app. See the ‘How do I book / schedule multiple classes FAQ.

If, however you don’t want to continue then feel free to cancel your subscription at any time. You can do this via your original ‘product order email’. There is a link at the top of this email titled ‘change or cancel subscription’.

  • You have 7 weeks to use your 6 sessions. So essentially there is a grace week should you not be able to come for any reason. The 7 weeks starts from the day you purchase your subscription. Your subscription automatically renews 6 weeks exactly after you have paid. You will received an email to notify you of your subscription renewal. At this point you can go ahead and book your following 6 sessions. There will be a ‘schedule’ link in the email to prompt you to rebook. Try not to schedule any of your sessions beyond the 7-week period where possible as your booking will be subsequently cancelled.

  • A ten pack of sessions will expire after 100 days and a five pack will expire after 60 days. This time frame commences on the date of purchase. Assuming a minimum of one session per week then this allows for a degree of flexibility to take account of holidays, illness etc. If you are unable to realistically fit your sessions into this time frame then we would advise our PAYG option until you are in a position to commit regularly.

  • If you made your original booking via the website then simply go to your confirmation email and click the cancel or reschedule an appointment option.

    OR

If you have the app click on the calendar icon and select the appointment you want to cancel or reschedule

    You Tube Tutorial

if you do this you will need to link https://TheDerbyFitnessHub.as.me/ when adding a business to your calendar. Both options will enable you to look at your current and past appointments and make any changes where necessary.

I would suggest also using the ‘add appointment to ical / outlook / google calendar’ link in the new appointment email confirmation. That way you will be able to keep track accurately of the sessions you have booked.

To cancel an appointment you must complete this process >24 hours before the start time of your session. Failure to do this will result in the loss of that appointment.

Cancellation and Terms and Conditions

  • If you cannot make all 6 weeks you have two options. Simply purchase a single pass for the sessions you can make OR subscribe and then try and double up on the weeks you are available. However, this is obviously subject to availability on a first come first served basis so you may not be able to double up every time. Remember all your 6 sessions must be used within a 7 week period (starting from your product order confirmation) Although we will try and accommodate this approach it will not always be possible to fit you in for multiple sessions in the same calendar week.

  • Yes, you have a number of options to do this.

If you created an account then simply log into your account, select the appointment you want to cancel or reschedule and follow the link. Secondly, you could download the app ‘acuity scheduling client’ from google play or the Apple Store and amend your appointments from there. Lastly simply go to your email confirmation “New Appointment” scroll down and select ‘change/cancel appointment’. Then simply select the appointment you want to swap or cancel and go from there.

  • Unfortunately, there is a 24-hour cancellation policy for any appointments. Appointment cannot be carried forward or ‘owed’. If you feel that you can not commit to completing a block of sessions (subscription of 6 in 7 weeks) then please consider PAYG until you are in a position to commit.

  • Unfortunately, there are no refunds for any single sessions bought. Only purchase single sessions if you feel that you are able to commit to them.

If you have purchased a personal training / strength and conditioning package (not classes) then you are entitled to a full refund up until 24 hours prior to your first scheduled appointment, after which no refund will be available. In the event of a refund being issued there will be a small admin fee which will be deducted from the amount to be refunded. This fee is essentially the transaction charge incurred by Derby Fitness when you originally placed your order.

  • NO. You coach will automatically receive an email confirmation as you do when a session is booked, amended or cancelled. Please refrain from contacting your coach about bookings where possible..

  • Cancellation - All Strength and Conditioning Classes are non-refundable and must be used by the original purchaser or designated person or persons agreed in advance with your coach. Please only book a session if you can attend.

    - All single sessions (PAYG, Gift certificates, Taster) sessions can not be rescheduled or refunded.

    - If you have subscribed to a 6 week plan you have 7 weeks to use these sessions from date of

purchase. Any remaining sessions will expire after this date.

    - If you have subscribed to a 3 month plan you have 14 weeks to use these sessions from the date of

purchase. Any remaining sessions will expire after this date. .

Within the allotted time period sessions can be cancelled and rescheduled (prior to 24 hours before a class) to another class, subject to availability. Failure to attend a scheduled session or to cancel >24 hours prior to the class time will result in the loss of that session.

Health Screening - A PAR-Q (physical activity readiness form) must be completed prior to commencing your strength and conditioning or group sessions. Please click on the link to complete (If you have previously done this there is no need to do it again UNLESS there are any changes to your health status)

    https://forms.gle/yBoemRKPZQBRn2QJ7

You must ensure to notify the coach should any of the details on the PARQ change whilst receiving your strength and conditioning sessions. Your coach can reserve the right to refuse access to services or to refer you back to a General practitioner should any medical conditions be identified on the PARQ. You must be aware that a GP may then charge to issue a referral letter prior to commencement of your strength and conditioning sessions. Your coach may also reserve the right to stop a session if they decide that your health and well-being may be jeopardised by continuing.

Consent - From time to time during any session, your coach may physically adjust form and posture. If you do not wish to receive such physical adjustments, you should inform your coach at the beginning of each session. If you do wish to receive such physical adjustments, it is your responsibility to inform your coach when an adjustment has gone as far as is necessary or desired at the time

Your coach may occasionally take photos and videos for use on social media. If you object to this please let your coach know in advance of the session.

  • PAYMENT - Strength and Conditioning / PT sessions are non-refundable and must be used by the original purchaser or designated person or persons agreed in advance with your coach. Payment must be received in full prior to your appointment. Please only book a session if you can attend your sessions in the allotted time frame.

EXPIRY / CANCELLATION - Should you need to cancel or reschedule 24 hours notice is required for all appointments. Notice of less that 24 hours will incur a full payment of the session fee, equivalent to the loss of one PT or strength and conditioning session. We reserve the right to waive this clause and rearrange the session if another equivalent slot becomes available in the same calendar week. This is not guaranteed and in such case the late cancellation policy will apply. The 10 Pack personal training / strength and conditioning sessions have an expiry date of 100 days from date of purchase. The 5 Pack have an expiry of 60 days from the date of purchase.

HEALTH QUESTIONNAIRE - A PAR-Q (physical activity readiness form) must be completed prior to commencing your strength and conditioning sessions. Other Questions

  • So 6 weeks is essentially a time frame which allows some degree of mastery of the skills whilst also ensuring that you don’t get bored of doing the same programme repeatedly. The reason why we don’t change every week is such that you have time to increase your competence with the new skills and as such improve your performance of those skills.

  • Nope. All of the classes we offer are catered to a mixed ability. This means that certain movements may be scaled to either accommodate a beginner or more experienced participant.

  • Absolutely YES. Experience should not be a barrier. You are more than welcome to join any of our classes or personal training packages.

  • This is largely a myth. Lifting weights once or twice a week will in no way make you bulky. However, you will probably feel great, learn some new skills, increase your strength (without getting bulky) and have a load of fun in the process.

  • NO. We ask specifically with juniors that if they have expressed an interest in coaching AND they can listen to and follow simple instructions then they are more than welcome. There is no upper age limit.

  • NO. Please rest and seek advice from your GP before you commence any physical activity. If you do attempt to attend we may well turn you away if we consider that you are too ill to safely participate.

  • Please consult your coach prior to your session. It may be that your session can be altered to accommodate the injury that you may have. However, we always recommend that you seek guidance from a registered physio if you have any doubt.
